How Many Do I Plan For?
This is the number one question asked of a catering
coordinator. As a general rule for local receptions, plan for
two thirds of the number of invitations that you sent out. You
can get a more accurate count by following this example:

500 Number of announcements sent out
- 150 Announcements that went out of town
- 150 Courtesy Announcements that went to businesses or those that you don’t
think will come.
- 50 This is for those who come but don’t stay to eat.
=150 X 2 Double this number. Most will bring a spouse or friend.
=300 This is the number of people to plan refreshments for.

Other things to take into consideration: Are both the bride and groom from the same area? If so plan a little higher. If either of the families are well known in the area or have jobs where they are visible in the community, plan a little higher. It is wise to note any community events, other receptions, or holidays that fall the same weekend as your reception. These can also greatly effect your turn out. Holiday weekends generally generate lower attendance.
